How to manage the project?

Project Management

          Here! you will learn about basic formula of Management, there are six steps below and making them a cornerstone of your planning process will allow you to complete your projects more effectively.




          Plan your work and work your plan. Set aside 20 to 30 planning minutes at the start of each day or at the end of your day to create a to-do check- list for your upcoming activities and you will know what your important tasks are before you start the day. This advance planning can save more than an hour a day. Action step: Take a moment right now and decide which time of the day is best for you to set aside for this planning period.
Example: If You are a Site Engineer in charge for one construction project and your manager gave you 5 tasks, scope of work with deadline clearly, have to do for tomorrow are list down below:
1.       Soil Excavation foundation 15 pcs
2.       Soil compaction foundation 15 pcs
3.       Cut off pile head for 15 pile caps
4.       Lean concrete foundation 15 pcs
5.       Installation Rebar and Formwork pile cap 15 pcs
 Before you begin, try asking yourself about making plan for those works with required question such as When you start? When you finish? How to work? What you need to prepare before start your planning?
1.       For soil Excavation foundation 15 pcs, what should you have to prepare today? You excavate soil by hand, by using people or by Excavator? How many people and equipment you need? And you need dump truck for delivery or remove soil or not? If you use to use them, must prepare first. Anything else?

  2. For soil compaction foundation 15 pcs, what should you have to prepare today? Do you need equipment, tool or not? How much you need? Who you will assign to do    this? How many people to do it? How about method compaction?

                      3. For Cut off pile head for 15 pile caps, you need to know how much pile head?          Method pile cut off? Which tool you have to use? How to use it? How to break pile head? How many people you need to complete that work? How to remove pile head out???

                       4. For Lean Concrete foundation 15 pcs, Are You booking concrete yet? Or you mixing by hand? Do you prepare material, such as cement sand stone water on site yet? Do you know method mixing learn concrete yet? you should know to calculation volume of concrete you need?

                           5. For Installation Rebar and Formwork pile cap 15 pcs, do you have preparing shop drawing, method statement for installation yet? Do you prepare rebar, formwork on site yet? How about people you assign? How much people you need for this work?

All the questions above are useful to remind and help you for well preparation of your plan productive/work plan before you start work. It is very important for you, because of everything you are ready done. Then your work will be run smoothly with no obstruction.

Step 2: Role and Responsibility

Defined Roles and Responsibilities provides clarity, alignment, and expectations to those executing the work and keeping our plant running. Roles & Responsibilities enables effective communications between the various groups, facilitating the full integration of the department and organization. Everyone must know and understand all job description, policy requirement, respect your role and responsibility what you have to do.

Example: in your Construction Project. You have human resources such as:
1.       Site Engineer     :2 persons
2.       QA/QC                :1 person
3.       Site Administrative    : 1 perosn
            4.    Manpower (unskilled & skilled):  30 people.

The most of all you must know scope of work clearly and make planning to process that works. List down all tasks must do in your planning schedule and then delegate your tasks to person responsible.

Step 3:  Coaching / Training

Coaching/training is an organised activity aimed at imparting information or instructions to improve the employee's performance or to help him or her attain a required level of knowledge or skill and to help the employee raise their own awareness, take responsibility, think through options and decide upon their own course of action. Here is some of experience that my company have done about Coaching/Training Staff about Quality Control for Construction.

5.       Time Management.

Step 4: Implement/ Follow up

During your planning work carry out, you must check and follow up to make sure every steps of work are moving, running without obstruction, follow up your schedule planning, Control quality and quantity by checking each of item work done in your checklist, one by one, people one by one also. If everything you see is okay, mean that your planning got good result, on time, save budget, quality and safety work. If you see anything has problem, you need to solve it on time. Making a new decision forsolving problem, making plan again and again to monitor progress work, detail planning to ensure that all parts of the operation are informed of their part in the change, in controlling.


Step 5: Monitoring and Evaluate 

Whenever you have implemented a decision, you need to evaluate the results. The outcomes may give valuable advice about the decision-making process, the appropriateness of the choice, and the implementation process itself. This information will be useful in improving the company’s response the next time a similar decision has to be made. Plan-Do-Action-Check is an iterative management method used in project planning for the control and continuous improvement of processes and products.

Step 6: Make Report

During the construction work process, you have to take a notification or report. In the record should make note all steps of work, record your job planning, your method, your problem, your need, your missing, your activities, your staff’s performance, your problem solution, your progress work, your payment in project and the weather impact. Everyone has their own style to make report, but the important thing must be easy to look, easy to understand, on time, right situation and real work.
